How to Compose Scripts For Answering Services

Answering services are responsible for answering the phones for businesses or individual people. These services are used when a business is closed or when someone cannot answer the phone regularly. Working from a script the person or business gives them exactly what needs to be said when they answer the phone for them. Understanding what the client's needs are is important in the script writing process.


  1. Find out who the client is first. The client’s specific guidelines will have to be followed. Most of the time the client will let you know and give a guideline as to what needs to be said in the answering service call. What you do is make sure that you incorporate all their guidelines.

  2. Read the company’s portfolio before beginning. This will give you a clear understanding of what the company does.

  3. Concentrate on writing a script that you can deliver to the best of your ability and that is natural. A simple greeting is first. Good morning, good afternoon or good evening is of course your first greeting to every script as it is very professional. Followed the greeting by the company or person’s name.

  4. Put down a few option for the answering service operator. All situational things that may or may not come up should be addressed. Some improv is not a bad thing because you want it to sound as normal as possible. The result is that at the end of the call all points should be satisfied and the person on the other end should be satisfied.

  5. Retain a short phone script. Have sufficient commas and pauses for the answering service so that they are not winded when talking. You do not want an unprofessional answering service. The result should be that your script is easy to understand and definitely straight to the point for all parties.
