How to Create an Employee Training Information Chart

Training employees and keeping track of their progress is important to businesses.  Keeping the records can be exhausting if not done in an organized way.  A plan needs to be made and followed as to make the education process go smoothly.  Using an employee training information chart is a simple method of keeping the records organized and easy to access.

Things you’ll need

  • Spreadsheet program

  • Computer

  • Employee identification information

  • List of training courses completed by employees

Instructions

1.      Open a spreadsheet program on the computer you wish to keep the data saved.  Microsoft Excel is one of the many choices available in spreadsheet software.  Once the program is open, a new blank document will need to be started.

2.      Create the title at the top of the spreadsheet.  Highlight a few cells in the top row and merge them together so they create one cell.  Inside this merged cell type the title of your spreadsheet.  “Employee Training Information Chart” is one option for that title.

3.      Enter information that will be needed to identify employees such as last name, first name, hire date, position and any other information you feel necessary.  This information will be added just below the title you created.

4.      Title the first two columns “Training Course” and “Date.”

5.      Save the spreadsheet as “Employee Training Information Chart Template.”   You will use this template as you created a new sheet for each employee.  Make sure the spreadsheet is formatted for printing.  To check click the print preview option to see what the spreadsheet will look like when it is printed.  Make any changes needed to make the document printable.  Insert page numbers and file location in the footer if desired.  This will help in keeping printed documents in order.  Close the document being sure to save any changes.

6.      Start entering your first employee by first opening the template you created.  You will right away want to save the document with the employees name as a new document, make sure you do not save over the template.  Enter the employee’s information.  Under the “Training Course” column, enter any courses that employee completed.  Add the date the course was completed next to the course in the “Date” column.  Once all information is added, save the spreadsheet and close the document.

7.      Continue to open the template and save as a new document titled with the name of the employee.  Keep opening and edited the template until you have completed all the employees.
