How to File Storage Boxes

Simple and effective filing can make it easier to retrieve documents. It can make your life easier, and save time. More importantly, a filing method that is easy for you to remember will increase the chances of you maintaining the system and remaining organized.

Reduce, then Organize

It is necessary to compile everything to be stored, then go through everything more carefully and eliminate anything you do not need. Reduce the clutter! Streamlining the system begins with reducing the amount of items needed to file.

Determine a System

The most common system is alphabetical order. This is a classic filing system that is easy to remember. The alphabetical system is a great option in instances where you may have other persons assisting you periodically, because you wont have to teach anything new.

Another filing system to consider would be categorical. Depending on what type of items you are storing, it may prove useful to organize by category.

Do you run your businesses from home? It may be necessary to categorize by business, then sub-file in alphabetical order. Are you storing merchandise? Then it may be necessary to incorporate a system that separates perishable items from non-perishables.

Label Boxes

Once you have incorporated a system, label the boxes. Boxes that will be filed alphabetically will have labels such as “A to B” or “C to D,”  and so on. Remember to place the labels on the front of the box so that you can see it without removing the box from its place.

Lastly, store the boxes in an open area designated especially for your box filing system. It is crucial that an area is designated, or the purpose for creating the filing system is defeated. How can you file an item if you cannot find the box? It also helps that the storage room has ideal conditions such as adequate temperature and is moisture-free.
