How to Fill Out Auto Body Repair Orders
Filling out an auto body repair order is nearly as important as completing the repair itself. One should be sure the customer's contact information is correct. It is easy to get car mixed up, so it is very important to list features to identify the vehicle.
- Complete customer information. There must be customer name, address and contact number at the very minimum. It is wise to obtain a license number or social security number for proper identification.
- Fill in vehicle information. The type of vehicle, the year, make, model, and color are the basic characteristics that should be listed. The mileage and license plate number are also good features for identifying the vehicle.
- Note the damage on the form. The exactly visible damage should be noted on the form as soon as the car is brought to the shop. If any other damage is found once the repair process begins it should be added to the form as soon as possible.
- Write all insurance information in the correct location. The insurance provider, policy number and contact information should be listed on the form. The claim number and contact information for the agent in charge of the claim should also be listed.
- Enter and calculate all charges. All parts, labor and miscellaneous charges should be listed in the appropriate place. Any miscellaneous charges should be explained in the notes sections. The total should be added as well as the tax applied.
- Sign the form. The technician working on the invoice should sign the form once it is complete.
