How to Form an Event Planning Committee
Planning an event can be a challenging task to accomplish, but it is possible. An event planning committee can relieve a heavy load from just one individual. Each person of the committee can be assigned to fulfilling a single duty, which will make the event a success when everything comes together.
- Determine the responsibilities of each member. Each person should have a task to complete that has something to do with the event. For instance, you may want to have an individual that deals with the arranging the sound system, someone that is in charge of handling the food and refreshments, or a person that will oversee the parking. Some tasks may require more than one person, and for this you may want to consider staffing a sub-committee. A sub-committee should consist of back-up and extra help to the normal staff members. Not all sub-committee members will be in on every event; the size of the event may or may not require the use of extra help.
- Decide how often you and the committee members will meet up. The closer the time is for the event, the more regular meetings should be held. Dates and time are one of the most important factors when you are hosting an event.
- Host interviews for the potential committee members. Sponsors may volunteer to help-out on the committee or even personnel from the location of the event. A social figure in the community will be a great choice as a committee member; this can help in getting certain people to attend your event.
- Form the committee. Furnish the details of the event and host a meet to answer any concerns and questions. The committee members can provide additional ideas to make an event successful.
- Assign highly dedicated members to act as chair on the committee. These individuals should be able to host meetings and update other members on status updates or changes.
