How to Make a Vehicle Repair Log
An organized and detailed repair log helps verify scheduled maintenance needs and records major repairs on vehicles. The repair log should include repair dates, mileage and work performed. Presenting a record of repairs and maintenance adds value to the automobile when selling it. It helps businesses keep track of deductible vehicle repair expenses. Details of multiple repairs help prove cases under the car lemon laws.
Instructions
- Create your own vehicle repair log. A basic log can be made from a folder with pockets, paper and a computer. Use divider tabs to create areas to reference different categories.
- Include an area to file receipts, work orders and invoices. These items verify the work performed or requested, and act as evidence for tax purposes or proving a lemon case. Organization keeps everything in one place and referred to quickly.
- Make a cover page with the vehicle’s identifying information. Include the year, make and model; date of purchase and who it was purchased from; odometer reading at the time of purchase and warranty information; known defects and maintenance or repair history.
- Use the vehicle owner’s manual to find the manufacturer’s recommended maintenance schedule. Gather all the information on recommended oil changes, tire rotations, fluid changes and filter replacements. Record it on a single page, print, and include it in the repair log.
- Design a spreadsheet to record maintenance and repair dates and odometer readings. Make a column for date, mileage, oil change, tire rotation and balance, wheel alignment, tire replacement, filter change, brake service, transmission service and tune up. Include an area for notes and comments. Use rows on your spreadsheet to record information about the maintenance or repair.
- Label each divider to reference the maintenance and repair categories. Include accessories, brakes, cooling system, emissions, engine, exhaust, oil change, tires and wheels and transmission. Then provide an area to record details of service and attach the receipts.
- Organize the log book. Print the cover sheet, maintenance schedule and maintenance log. Punch holes and place in binder. Place the dividers in alphabetical order behind the maintenance log.
- After each repair or maintenance task, record it on the spreadsheet. Record details of the service, such as date, where service was performed and cost in the tabbed reference areas. Attach receipts or slip them in a clear plastic sleeve.
