How to Run a Help Desk
Many companies and corporations have their own internal help desks. A help desk is designed to provide support for all of the technical equipment within the company. Help desk employees are often busy. There are a few techniques that a company can employ in order to run a successful help desk.
- Establish a workflow. As a company, establish guidelines to determine how calls will be routed and organized within the help desk. In most cases, the help desk person will receive a call from another person within the company. The help desk employee then enters the information into the company's help desk software. The task is then assigned to another help desk employee. Set up a similar workflow within your own company. Assign an employee with the task of ensuring that the work was completed according to the user's satisfaction.
- Create efficiency by designating support levels. New help desk employees, and those with fewer technical skills, should be assigned low-level tasks. This might include setting up hardware or repairing printers. Reserve high-level, complicated jobs for experienced, established help desk employees. Experienced employees will have the skills and knowledge necessary to manage these jobs efficiently and professionally.
- Support the help desk staff. It is important that the management team constantly train and support their help desk staff. This is important not only to new help desk employees, but also to veteran help desk employees. Ensure that help desk employees are trained in the operation and repair of all hardware, software and equipment that is brought into the office.
- Develop a tracking system. Every issue that is called into the help desk should be tracked from initial call to completion. Track dates, times and machine numbers to ensure that issues are being handled in a timely manner and machines that are prone to malfunction are replaced periodically.
