Gather information for the small business such as bank account information, business licenses, employer identification numbers or federal tax identification number, and any other relevant information that relates to the financial status of the small business. Anything that can affect taxes or finances should be kept in one place.

Entering the financial data into this type of system, and keeping track of all the accounting expenses and income will help when crucial reports can be run to show the company's financial health in the months and years to come. This is one of the most important tools a small business can use. Much of the forecasting and planning is based around this information.

  3. Choose an accrual or cash system that the accounting program will use to show the financial status of the company. Businesses that like to keep track of bills and income as they occur typically choose the cash system of accounting because it provides accurate information according to each day.

  4. Input all banking information for all accounts that the small business has. Enter in all the expenses and credit card information as well as any small business loans that require repayment. Entering in all the address and phone numbers at once will help make the process easier when entering the bills as they come in. The information is stored in the accounting software system allowing for easy retrieval each time a bill needs to be paid. This will also allow how much is spent on each expense per month or year.
