It is essential to know how to properly use office equipment to be able to have your office function properly. The entire staff should be educated and trained on how to properly use all of equipment in the office.

Computers

  • Save on energy by setting all monitors to "Off" after a certain time period of inactivity instead of relying on a screen saver.

  • Set computers to go into standby mode after 10 to 15 minutes of inactivity. After 30 minutes of inactivity, set them to go into hibernation mode.

  • Turn off all computers that are sitting inactive for long periods of time.

  • Shut down all computers, printers and other equipment at the end of every work day. There are programs available that you can use and set for automatic shutdown.

Copy Machines

  • Set your photocopier in power save mode. Set your copier to switch to this mode after about 10 to 20 minutes of inactivity.

  • Use recycled paper as much as possible, and print off documents only when absolutely needed.

Fax Machines

  • Set up the faxline so that instead of printing the faxes on paper they will go directly to a computer file.

  • Set up your fax machine's system so instead of faxes having to be sent from the fax machine they can be sent straight out from your computer. This not only saves paper, but also saves on time.

  • Recycle paper by filing the fax tray with paper that has already been printed on one side. This works best with paper that does not have important or personal information on it.
