How to Make Address Labels from an Excel Spreadsheet
Writing out labels by hand can be a painstaking process, especially if you have dozens of envelopes to label. The mail merge function of Excel and Word can help make long process into a simple one. You just have to know a few simple steps.
Items you'll need:
- Computer
- Microsoft Office suite
- Address labels
- Printer
- Open Microsoft Excel and open a blank document. In each column create a field for address information. You will need columns for name, address, city, state and ZIP code.
- Once you have created your columns, type in your information. This will be the most time consuming part of the process. However, if you save the Excel spreadsheet, you will never need to repeat these steps when you reprint labels.
- Save your spreadsheet and close Excel. Open Word and click on "Tools" at the top of the page. Choose "Letters & Mailings" and then "Mail Merge." Be aware that some of the steps may differ slightly depending on the version of Word you are using.
- Choose the file that you would like to merge with. This means that you need to choose the Excel file that you just saved and closed.
- Choose what type of labels you would like to print. Check the box of address labels that you have purchased. It will have a company and product number on the front, such as Avery 2020. Make sure that you tell the computer the correct information or your labels will print improperly.
- Send you labels to the printer. Make sure that you have placed the labels properly in the feeder tray before you start printing.
