How to Save Fax by Mail Documents
When you have important paperwork faxed to you, you will sometimes want to save it. In fact, you may even want to save documents that you fax to others. Learn some useful information on saving those important files so you never have to worry about losing another document.
Usually the documents you send or receive are important enough to maintain a copy. However, fax by mail documents are transmitted in a different fashion than traditional faxes. In the past, facsimiles were sent by using a hard copy of the paperwork. If you received a fax, you also had a hard copy that could be copied and saved. The same theory applies to faxes that are transmitted through mail.
When saving a fax that has been sent to you via email, you will want to do one of two things or both:
- Print the fax out onto a hard copy.
- Save the original email file somewhere on your computer where you can find it later.
By saving both a hard copy and a file, you are assured that if you require the fax in the future, you have easy access to both copies.
If you are sending an email fax then the proper thing to do is to save the file before you send it. It can be saved the same as if you had received the file. Send a copy to yourself and save it in your email folders, place a copy into a file in your computer and print out a hard copy.
You won't always have to save every single fax by mail copy but it is always a good idea to keep a copy of anything that is important, still under review or part of an ongoing process.
