Reception Desk Etiquette

The reception area is usually the first glimpse that a customer has of a particular business.  Because of this, it is also the basis of a customer’s first impression of the business.  There are basic rules that apply to reception desk etiquette to make a client feel welcome as well as give him the desire to want to come back.

Radiate Profesionalism.  Receptionists should strive to maintain a professional appearance.  This includes adhering to a business-like dress code, always look the best that you can and most importantly, smile.

Show Respect.  It is very important to treat all customers with respect.  Do this by greeting them as soon as they walk through the door.  Eye contact is also very important when greeting your customers.  Make both new customers and repeat customers feel that you are glad to see them.  For those you know, strike up a conversation about their family or jobs.  For those you don’t know, make an effort to induce small talk.

Be Tactful and Courteous.  Most receptionists meet the disagreeable customer a few times throughout their career.  The best way to handle customers who are demanding or rude is to do it in a professional, tactful manner. By maintaining self-control, a receptionist will be able to give the customer the service is probably doesn’t deserve.

Be Organized.  Maintain a clutter-free workspace.  It is ok to have a photo or two of your family sitting on your desk but don’t overdo it.  Make the use of desktop organizers to keep clutter under control.  As for eating, it is never a good idea to eat at your desk when receiving customers.  It is best to save lunch for the break room.
